Configure Shortcut Custom Fields Without Losing History
Shortcut provides five predefined Custom Fields; paid Team and Business/Enterprise workspaces can add Advanced Custom Fields in Settings > Custom Fields.
An Administrator must manage Advanced Custom Fields. The documented limit is 20 per workspace; Free workspaces have the five predefined fields only.
Example: use Product Area for Billing, Accounts and Search. Create a separate Customer Segment field only when the team needs a consistently reported dimension.
Step-by-step guide
Review the existing dimensions
Open Settings > Custom Fields and inspect Product Area, Technical Area, Skill Set, Priority and Severity before creating another field. Severity applies only to Bug-type Stories.
Choose the field that matches
Edit the predefined field values when they already express your need. For a genuinely separate dimension on an eligible plan, select Create Field and name the new dimension.
Define clear choices
Add a short description and a small set of mutually understandable values. For Customer Segment, use your maintained segments rather than individual customer names.
Apply and inspect the field
Set a value on a representative Story. Filter Stories or Reports by that value and confirm the selection produces the intended work set before rolling it out.
Common mistakes
Deleting a field to rename it
Deleting an Advanced Custom Field removes its associated data. Rename or archive rather than destroying useful history.
