How to Migrate from Notion to Confluence (Step-by-Step)

Teams migrate from Notion to Confluence primarily when moving to or fully adopting the Atlassian ecosystem (Jira + Confluence). Confluence's deep Jira integration — linking pages to issues, embedding Jira roadmaps, and tracking requirements — is difficult to replicate in Notion. The migration itself is manual-heavy because Notion and Confluence have incompatible export formats.

This guide covers the Notion-to-Confluence migration including content export, space setup, and preserving the documentation structure your team relies on.

Step-by-step guide

01

Export Notion content

In Notion, go to Settings > Settings & Members > Export All Workspace Content. Choose Markdown & CSV format (HTML export is less compatible with Confluence). Download the ZIP file — it contains all pages as Markdown files organized in a folder hierarchy matching your Notion page tree.

02

Map Notion structure to Confluence spaces

Confluence organizes content in Spaces (top-level containers) and Pages. Map your Notion structure: top-level Notion pages (workspaces) → Confluence Spaces, Notion sub-pages → Confluence page hierarchy within a Space. A typical mapping: Notion "Engineering Wiki" → Confluence "Engineering" Space, Notion "Product" → Confluence "Product" Space.

03

Create Confluence spaces and page hierarchy

In Confluence, create your Spaces first. Go to Spaces > Create Space. For each Space, create the top-level page hierarchy by adding pages via the left sidebar. Recreate your Notion folder structure as a Confluence page tree. This scaffolding makes content import more organized.

04

Import Markdown content

Confluence does not have a direct Notion importer. Use the Confluence Markdown Import feature (available via marketplace app "Markdown + Mermaid for Confluence") to import Markdown files. For each Notion page: paste the Markdown content into the app, verify rendering, and save as a Confluence page. Tables, headings, and code blocks convert well; Notion databases do not.

05

Recreate Notion databases as Confluence macros

Notion databases (tables, kanban databases, gallery views) do not have a direct Confluence equivalent. Options: convert task databases to Jira issues and embed with the Jira Issues macro, convert content databases to Confluence page collections using the Children Display macro, or use the Confluence Airtable or Table Plus macro for structured data.

06

Set up Jira integration macros

Confluence's primary advantage over Notion is deep Jira integration. In migrated PRD pages, add the Jira Issues macro to embed requirements tracked in Jira. Add the Jira Roadmap macro to embed the live Jira roadmap in the product wiki. These integrations cannot be replicated in Notion and are the main reason for the migration.

07

Communicate changes and run team training

Announce the migration 2 weeks in advance with a clear cut-over date. Share a Notion-to-Confluence concept guide: how pages relate to Notion pages, how to find content via Confluence search. Run a 30-minute team training covering navigation, page creation, and Jira macro usage. Designate a Confluence champion for each team to answer questions.

Common mistakes

Trying to migrate everything

Most Notion content is no longer actively used. Migrate only the past 6 months of actively referenced documentation. Archive the rest in Notion (read-only) rather than cluttering Confluence with stale pages.

Expecting a perfect automated migration

The Notion-to-Confluence migration is never 100% automated. Budget time for manual cleanup: fixing broken links, re-creating embedded databases, and updating images. Plan 2 hours of cleanup for every 100 pages migrated.

Not training on Confluence search

Notion search is intuitive; Confluence search requires knowing the Confluence query language (CQL) for advanced searches. Train the team on Confluence's search before migration so they can find content in the new system.

Tips

Use the Confluence "Bulk Move" feature to reorganize pages after import if the structure needs adjustment

Keep Notion read-only for 60 days post-migration so team members can find content they forgot to migrate

Set up Confluence page templates for PRDs, meeting notes, and sprint reports to standardize documentation from day one

Enable Confluence Analytics to track which pages are read most — use this to prioritize content quality improvements

How Vantage helps

Vantage generates PRDs in a structured format that can be pasted directly into Confluence pages with proper headings, requirements tables, and acceptance criteria. If you are migrating from Notion to Confluence, Vantage's PRD output is already Confluence-compatible.
