How to Run a Prioritization Workshop in Miro
Prioritization workshops align the product team on what to build next by making tradeoffs visible and decisions explicit. Miro is an excellent tool for facilitation because its real-time collaboration features allow everyone to contribute simultaneously, and its voting and timer features add structure to the session.

Step-by-step guide
Prepare the Miro board with framework sections before the session
Create a board with three sections: Idea Collection (a space for adding items to prioritize), Scoring (an Impact-Effort Matrix or RICE scoring table), and Output (the final prioritized stack). Add the feature or initiative names to Idea Collection before the session starts, using one sticky note per item. Include a 30-second overview of each item so participants can evaluate them without deep context.
Run an individual scoring round using RICE
Give each participant their own RICE scoring table (Reach, Impact, Confidence, Effort). Ask everyone to score each item independently for 10 minutes without discussion. Scoring independently first prevents anchoring bias — the tendency to agree with the first person who speaks. Use the Miro timer (toolbar > Timer) to keep the round focused.
Run a dot voting round on must-haves
After individual scoring, run a dot voting round. Each participant gets 5 dots to place on the items they believe are most important. Use Miro Voting (Plugins > Voting) for digital dots. This quick exercise surfaces strong consensus items (those with many dots) and reveals disagreements (items where dots are split).
Discuss outliers and score disagreements
Focus discussion time on items where scores or dots diverge significantly. If three participants scored an item high and two scored it low, that disagreement contains useful information. Ask both sides to share their reasoning. Disagreements often reveal misunderstood requirements, unstated constraints, or different customer segments being considered.
Place items on the Impact-Effort Matrix
Drag items to their position on an Impact-Effort 2x2 Matrix: high impact/low effort (Quick Wins), high impact/high effort (Major Projects), low impact/low effort (Fill-ins), low impact/high effort (Thankless Tasks). Items in the Quick Wins quadrant should be prioritized immediately. Major Projects go on the roadmap. Thankless Tasks are candidates for deletion.
Produce the final stack-ranked output
In the Output section of the board, create a numbered list using the consensus from scoring, voting, and matrix placement. For each item in the top 10, add the key rationale: why this ranks here. This creates a documented decision record that stakeholders can reference when scope creep pressure arrives later.
Common mistakes
Starting with group discussion instead of individual scoring
Groups that discuss before scoring anchor on the first opinion expressed. Always do individual scoring or voting first, then discuss. This gives you a data point before social dynamics influence the outcome.
Letting HiPPO override the framework
HiPPO (Highest Paid Person Opinion) is the most common prioritization failure mode. A well-run framework session protects against this by making scoring data visible before discussion. If a senior leader overrides the framework, make that override explicit in the output.
No effort estimation before the workshop
Prioritization requires both impact and effort data. If effort estimates do not exist, the workshop produces an Impact-Only ranking that over-weights hard, high-impact items over quick, medium-impact wins. Collect rough effort estimates from engineering before the session.

Cap the workshop at 90 minutes maximum — prioritization fatigue sets in after that
Use the Miro timer to enforce timeboxes on each section (10 min scoring, 5 min voting, 20 min discussion, 10 min output)
Record the session if participants attend remotely so the decisions can be reviewed later
