How to Set Up Feedback Collection in Productboard (Step-by-Step)

Productboard centralizes product feedback from multiple sources — sales calls, support tickets, user interviews, NPS surveys — and connects individual pieces of feedback to specific features in your roadmap. Instead of maintaining a "voice of customer" spreadsheet that is always out of date, Productboard creates a live connection between customer evidence and product decisions.

This guide covers setting up Productboard's feedback collection system from Insights configuration through prioritization scoring.

Step-by-step guide

01

Set up your Insights inbox

After logging into Productboard, navigate to Insights > Notes. This is the central inbox where all customer feedback lands. Go to Settings > Sources to connect your feedback channels: Intercom, Zendesk, Salesforce, or Zapier for custom sources. Each connected source automatically forwards relevant customer conversations into the Insights inbox for PM review.

02

Configure the feedback portal

Go to Settings > Portals. Create a customer-facing feedback portal with your company branding. Embed the portal on your website, add it to your app's Help menu, and share the link with customer success. The portal allows customers and internal teams to submit feature requests directly into Productboard, tagging their request to existing features or creating new feature ideas.

03

Create a feature hierarchy

In Productboard, set up your feature board: go to Features > create Components (major product areas like "Onboarding," "Billing"), Products (the product lines), and Features (individual features within components). Features are the objects that feedback gets linked to. A well-structured feature board makes prioritization analysis meaningful.

04

Tag feedback to features

In the Insights inbox, each note needs to be linked to a feature. Open a note, highlight the relevant text that relates to a feature need, and use the "Link to feature" action to connect it. Rate the customer importance: Critical (blocking purchase/renewal), High (significant pain), Medium (nice to have). This rating weights the feature's prioritization score.

05

Set up the scoring model

In Features > Prioritization, configure the scoring criteria. Productboard supports custom scoring based on: customer importance scores (aggregated from feedback ratings), strategic value (set manually by PM), market potential (addressable market segment), and effort (set by engineering). Create a formula that weights these factors according to your prioritization philosophy.

06

Create stakeholder views

Create filtered views for different audiences: Sales view (showing features with the most enterprise feedback), Support view (showing features with the most support-tier feedback), Executive roadmap view (showing top-scored features by quarter). Share these views with respective teams. Stakeholders see the data relevant to them without access to the full PM workspace.

07

Establish a feedback review cadence

Set up a weekly 30-minute Insights review: process all untagged notes in the inbox, link them to features, and update importance ratings. Monthly, review the prioritization board: have the scores changed based on new feedback? Should any features be promoted to the roadmap? This cadence ensures the feedback system stays current.

Common mistakes

Not tagging feedback to features

An Insights inbox full of untagged notes is just an email inbox with extra steps. The value of Productboard is the aggregation: 47 customers asked about SSO. Without tagging, that signal is invisible.

Creating too many features in the hierarchy

A feature board with 500 features is unusable. Start with 50-100 features covering your key product areas. Add new features as distinct requests emerge, not speculatively.

Not connecting to customer records

Feedback without customer context (company size, plan, churn risk) is hard to weight. Connect Productboard to Salesforce or HubSpot so each piece of feedback shows the customer's revenue, plan, and NPS score.

Tips

Use Productboard's Zapier integration to automatically ingest feedback from Typeform surveys and App Store reviews

Create a Slack bot that surfaces the weekly top-voted features from Productboard into the #product channel

Use "segments" in Productboard to filter feedback by customer type (SMB/Enterprise) to see different prioritization views

Train customer success and sales to log call notes in Productboard instead of internal Slack — this is the highest-value feedback integration

How Vantage helps

Vantage generates PRDs grounded in the context you provide. Add Productboard insights as context to a Vantage project — paste the customer feedback summary or export — and Vantage generates PRDs that reflect actual customer pain points, not PM assumptions.
