Create Task Templates in Asana
Create a project task template for a repeatable handoff, including its required evidence and role expectations. Adapt generated tasks rather than treating template defaults as current commitments.
Step-by-step guide
Check access and scope
Task templates require suitable plan and project access. Guests cannot create or edit task templates, and template management is not available on mobile.
Open task templates
Open project Customize and add a task template. In the project Customize menu, choose Add template; organization guests cannot create or edit these templates.
Write the repeat checklist
Write the repeatable outcome and completion checklist.
- Worked example: A rollout review template can ask for release candidate, rollback owner and verification evidence. Generated tasks must name the actual version rather than leaving the example identifier.
Configure relative defaults
Configure relevant fields, subtasks and relative dates.
Generate a sample task
Create a sample task from the template.
Update stale placeholders
Update placeholders and confirm date offsets and assignments.
Verify the result
The generated task contains useful instructions and current ownership without stale artifacts or accidental dates.
Common mistakes
Check the handoff edge case
A template attachment can become outdated independently of the checklist. Review referenced artifacts when updating the template.
