Use Jira Workflow Validators

Add a workflow validator when a transition must reject missing handoff data. This walkthrough targets the company-managed Diagram workflow editor with a Validators tab; other editor variants use different controls.

Step-by-step guide

01

Check access and scope

You need workflow administration access and a safe way to test the affected company-managed workflow. Identify all issue types sharing it before changing rules.

02

Choose the handoff transition

Choose the exact transition and required business data.

03

Open the workflow transition

In Space settings > Workflows, choose Edit workflow for the affected work types. Open the Diagram editor, select the target transition arrow and open Validators. Check every project sharing the workflow before editing.

  • Worked example: Require a rollout evidence link before transition to Ready for release when that field is genuinely mandatory. Keep the error specific so the user knows how to correct the missing information.
04

Configure the validator

Choose Add validator, select Field Required Validator and select the rollout-evidence field. Set a specific error such as Add the rollout evidence link before release review, then save the validator. Ensure users can populate that field before or during the transition.

05

Test missing and valid data

On a test workflow or safe sample, attempt the transition with the field empty, then with evidence supplied. Confirm the error names the missing input and the valid attempt succeeds.

06

Publish with clear guidance

Publish deliberately and communicate the new handoff requirement.

07

Verify the result

The incomplete transition fails clearly while the valid transition succeeds with its evidence preserved.

Common mistakes

Check the handoff edge case

A vague failure message can trap users without explaining the missing requirement. State the field or evidence they must supply.

Spec to tickets

Working in Jira? Turn your spec into dependency-ordered tickets.

Paste the feature or spec. Vantage pulls out the requirements and breaks them into tickets, ordered by what blocks what, ready to groom with your team.

Where do your tickets live? (optional)

How this works

  1. We save what you typed. No AI runs on this page.
  2. You create a free account.
  3. Vantage builds a PRD and dependency-ordered tickets from it inside your own workspace.

Why ask for an account? We’re a small team, and a full generation runs a multi-step AI pipeline that costs us real money. So we tie it to a free account instead of running it anonymously. You also get to keep the result and edit it.
