How to Run Sprint Planning in ClickUp
ClickUp supports sprint-based workflows through its Sprints feature, which works alongside its task management, docs, and goals capabilities. While ClickUp is not as opinionated about sprints as Linear, its flexibility lets teams customize their sprint process.
This guide covers how to set up and run effective sprint planning in ClickUp.
Step-by-step guide
Step 1: Enable Sprints in your Space
Go to Space Settings and enable the Sprints ClickApp. This adds sprint management to your Space, including sprint creation, backlog views, and velocity tracking. Configure sprint duration (1 or 2 weeks) and start day.
Step 2: Set up your backlog
Create a List called "Backlog" within your Space. This holds all potential sprint items. Use custom fields for Priority (Urgent, High, Normal, Low), Story Points, and Status. Sort by priority so the top of the backlog is always the next thing to work on.
Step 3: Create a sprint
Click "New Sprint" and set the start and end dates. Add a sprint goal as the sprint description. Drag tasks from the Backlog into the sprint, monitoring the total story points against your team's velocity.
Step 4: Set up capacity tracking
Use ClickUp's Workload view to see how tasks are distributed across team members. Adjust assignments to balance the load. Account for PTO and meetings by reducing individual capacity.
Step 5: Run the planning meeting
Present the sprint goal, review each task in the sprint, confirm assignments and estimates, and identify blockers or dependencies. Use ClickUp's Task Dependencies to link tasks that must be completed in sequence.
Step 6: Start and monitor the sprint
Once planning is complete, start the sprint. Use the Sprint Board view for daily tracking. Monitor the burndown chart and address blockers in daily standups. At sprint end, review velocity and carry over incomplete items.
Common mistakes
Using ClickUp's complexity without simplifying
ClickUp offers so many features that teams over-complicate their sprint process. Start simple: tasks, priorities, story points, and sprints. Add custom fields and automations only when you have a specific problem to solve.
Not setting sprint goals
Without a sprint goal, the sprint is just a batch of tasks. The goal gives the team a decision framework for mid-sprint tradeoffs.
Mixing sprint and non-sprint work in the same Space
Keep sprint work in a dedicated Space or Folder. Mixing sprint tasks with general project management creates confusion about what is committed and what is aspirational.
Tips
- Use ClickUp Automations to move incomplete tasks to the next sprint automatically
- Create a sprint planning template Checklist that ensures consistent preparation
- Use the Timeline view to visualize task dependencies within the sprint
- Set up Slack notifications for sprint-critical events (blocked tasks, scope changes)
How Vantage helps
Vantage generates dependency-aware tickets from PRDs and pushes them to Linear or Jira. While ClickUp is not a direct sync target today, the tickets generated by Vantage can be manually imported or the same approach applied in any sprint management tool. The key benefit is that tickets arrive pre-groomed with acceptance criteria and dependency information.
