Notion\'s database feature makes it uniquely suited for product roadmaps. A single database can power multiple views: a timeline for executives, a board for the product team, and a table for detailed planning. Relations link initiatives to PRDs, sprints, and customer requests. And Notion\'s page nesting lets you add narrative context alongside structured data.

The template below provides the database schema, view configurations, and page structure you need to build a production-ready roadmap in Notion. It covers initiative tracking, timeline visualization, quarterly planning, and dependency mapping.

Initiatives Database

Create a Notion database called "Roadmap Initiatives" as the foundation of your roadmap. Each initiative is a page with properties for name, strategic theme, quarter, status, owner, and effort. This database powers all roadmap views — timeline, board, and table.

Example properties: Name (Title): "Full-text Search" | Theme (Select: Growth, Retention, Platform, Revenue) | Quarter (Select: Q3 2026, Q4 2026, Q1 2027) | Status (Select: Planned, In Progress, Shipped, Paused) | Owner (Person) | Effort (Select: S, M, L, XL) | Target Date (Date) | Impact (Select: High, Medium, Low) | PRD Link (URL)

Notion Tips

  • Limit themes to 3-5 per quarter — this keeps the roadmap focused
  • Use Notion Select properties with colors for visual categorization
  • Add a Formula property to calculate days until target date
  • Create a Relation to a "PRDs" database so each initiative links to its spec

Timeline View

Create a Timeline view of the Initiatives database to visualize your roadmap on a calendar. Set the start and end date properties as the timeline range. Color-code by theme so stakeholders can see which strategic areas are active in each period. This is the primary view for executive presentations.

Example timeline setup: Date range: Start Date to Target Date. Color by: Theme. Filter: Quarter = Q3 2026 or Q4 2026. Result: A visual timeline showing "Full-text Search" spanning Aug-Sep under the Growth theme (green), "SSO Integration" spanning Sep-Oct under Platform (blue), and "Amplitude Connector" spanning Aug-Sep under Platform (blue).

Notion Tips

  • Set the timeline view to "Month" granularity for quarterly planning
  • Filter by quarter to avoid overwhelming the view with too many items
  • Use the "Color by" setting to group by theme for visual coherence
  • Share this view as a public Notion page for stakeholder access

Quarterly Planning Pages

Create a child page for each quarter inside a "Quarterly Plans" page. Each quarter page contains: the quarter goal, a linked database view filtered to that quarter's initiatives, key milestones, resource allocation, and risks. This provides the narrative context that a database view alone cannot capture.

Example Q3 2026 page structure: Heading: "Q3 2026 — Search & Enterprise Readiness." Quarter Goal (callout): "Ship full-text search and SSO to close 3 enterprise deals in pipeline." Linked Initiatives DB (filtered: Quarter = Q3 2026). Milestones: Aug 15 — Search beta. Sep 1 — SSO security review. Oct 15 — First enterprise onboarding. Resources: 2 squads (8 engineers), 2 designers. Risks: Hiring timeline for security engineer.

Notion Tips

  • Use Notion callout blocks for quarter goals to make them visually prominent
  • Embed the Initiatives database filtered to the quarter for a live view
  • Add a "Key Decisions" section to document trade-offs made during planning
  • Link milestone dates to the Initiatives database entries for traceability

Dependency Mapping

Add a "Depends On" Relation property to the Initiatives database. This creates bidirectional links between initiatives that depend on each other. Use a Table view sorted by dependencies to identify initiatives that could block others. Flag any initiative with unresolved dependencies.

Example dependencies: "Search UI" depends on "Search API" (must ship first). "SSO Integration" depends on "Identity Provider Evaluation" (decision needed). "Mobile Experience" depends on "New Design System" (design team delivery). Table view columns: Initiative | Depends On | Blocks | Status. Filter: Status != Shipped.

Notion Tips

  • Use a self-referencing Relation for the "Depends On" and "Blocks" properties
  • Create a filtered view showing only initiatives with unresolved dependencies
  • Review dependencies during quarterly planning and sprint planning
  • Add a "Dependency Status" formula that flags items where dependencies are not shipped

Board View by Status

Create a Board view of the Initiatives database grouped by Status (Planned, In Progress, Shipped, Paused). This gives the team a kanban-style view of roadmap progress. Move initiatives between columns as they progress. Use this view in weekly team syncs.

Example board columns: Planned (3 items: Mobile Experience, Advanced Reporting, AI Recommendations) | In Progress (2 items: Full-text Search, SSO Integration) | Shipped (1 item: Amplitude Connector) | Paused (1 item: European Expansion — paused pending regulatory review).

Notion Tips

  • Use the Board view for weekly roadmap syncs with the team
  • Add sub-groups by Theme within each status column for more detail
  • Use the "Group by" setting to switch between Status and Theme views quickly
  • Pin the Board view as the default for the product team, Timeline for stakeholders
