Manage Wiki Page Owners in Notion
Assign a clear owner to each wiki page and use ownership views to find maintenance gaps. An owner is responsible for accuracy; editing permission remains a separate access decision.
Step-by-step guide
Check access and scope
You need a wiki and permission to manage the relevant pages. Agree on backup coverage when an owner leaves or changes role.
Inspect wiki ownership
Open the wiki All pages view and inspect its Owner property.
Assign responsible people
Assign a responsible person to each important page.
- Worked example: For a release-process wiki, give the rollout checklist to the release coordinator and the security review instructions to their actual maintainer. Avoid assigning every page to the PM by default.
Review owned pages
Review the Pages I own view with each owner. Pages I own exposes the current owner assignments, while All pages helps a maintainer find work with stale responsibility.
Set maintenance dates
Add a review date or use verification where available.
Transfer stale ownership
Transfer ownership during team changes and inspect linked documents.
Verify the result
Every critical wiki page has a current owner who can explain the next required review.
Common mistakes
Avoid the main failure mode
The page creator may be the default owner even when they do not maintain the process. Audit defaults after importing or duplicating documentation.
Check the handoff edge case
Assigning ownership to a team name in prose without a responsible person makes expiry notifications and handoffs harder to manage.
