How to Connect Google Workspace to Vantage: Step-by-Step Guide
Connecting Google Workspace to Vantage takes under two minutes and brings your Google Docs, Sheets, and Slides directly into your decision-making workflow. Once linked, Vantage imports the files you select from Google Drive so you can reference product specs, research documents, planning spreadsheets, and presentation decks without leaving Vantage. The integration uses Google OAuth, so you sign in with your existing Google account and never share a password with Vantage. You control which files and folders sync, which file types are included, and whether shared files from teammates are imported alongside your own.
This guide walks you through the full setup: prerequisites, the six-step connection flow, configuration options, and troubleshooting. Whether you are importing a handful of key documents or syncing entire project folders, the process is the same.
Prerequisites
Before you start, make sure you have the following:
- A Vantage account on any plan (Free, Pro at $19/seat/mo, or Business at $59/seat/mo). The Google Workspace integration is available on all plans.
- A Google account (personal Gmail or managed Google Workspace) with access to the files you want to import. If your organization restricts third-party app access, your Google Workspace admin may need to approve Vantage in the admin console.
- A modern browser (Chrome, Firefox, Safari, or Edge). The OAuth flow opens a popup window, so make sure popups are not blocked for app.vantageos.tech.
Connect Google Workspace in 6 steps
Open the Integrations page in Vantage
Log in to your Vantage workspace at app.vantageos.tech. In the left sidebar, click Settings, then select Integrations from the settings menu. This opens the integrations catalog where every available connector is listed, including Google Workspace, Notion, Confluence, Jira, Linear, and dozens more.
Find and select Google Workspace
In the integrations catalog, locate the Google Workspace card. You can use the search bar at the top to filter by name. Click the Connect button on the card. Vantage displays a summary of the data it will access, including read-only access to Google Docs, Sheets, Slides, and Drive file metadata. Review the summary before proceeding.
Authorize via Google OAuth
Click Authorizeto open Google's OAuth consent screen in a new window. Sign in with the Google account that has access to the files you want to import. Google shows you the exact permissions Vantage is requesting, which include read-only access to your Google Drive files. Click Allow to grant permission. You are redirected back to Vantage automatically once authorization completes. Your Google password is never shared with Vantage. The entire flow uses industry-standard OAuth 2.0 tokens.
Select Docs, Sheets, and Slides to import
After authorization, Vantage displays a file picker that mirrors your Google Drive structure. You can browse folders, search by file name, and filter by file type (Docs, Sheets, or Slides). Select the individual files or entire folders you want to import. For folders, every supported file inside the folder is included automatically. You can also choose whether to include files shared with you by teammates or only files you own. This selection is not permanent. You can add or remove files later from the integration settings without disconnecting or re-authorizing.
Configure access scope
Vantage shows a configuration panel with scope options. Selected files only imports just the files and folders you picked in the previous step. Specific folders lets you choose entire Drive folders so any new files added to those folders are automatically imported on the next sync. Entire Drive imports everything in your Google Drive that matches the file type filters. You also choose which file types to include: Docs, Sheets, Slides, or any combination. The defaults (selected files only, all file types) work well for most teams, so you can skip this step and adjust later.
Verify the connection
Vantage runs a test import and displays a sample of your Google Workspace content on screen. You should see a document title, a snippet of content, and metadata like the file type and last modified date. If the test passes, click Done to finish setup. Your Google Workspace files begin importing in the background. Most imports finish within a few minutes, though large collections with hundreds of files may take longer. You will see a notification in Vantage when the import is complete and your documents are ready to use as context in decisions, PRDs, and feature evaluations.
Configuration options
After the initial setup, you can fine-tune how Google Workspace and Vantage work together. All of these settings are accessible from Settings > Integrations > Google Workspace in your Vantage workspace.
Access scope
Switch between importing selected files only, specific folders, or your entire Drive. Folder-based scoping is the most popular option because new files added to watched folders are imported automatically.
File type filters
Choose which Google Workspace file types to import: Docs, Sheets, Slides, or any combination. Disabling a file type stops future imports of that type but does not remove previously imported files.
Sync frequency
Choose how often Vantage checks for new or updated files. Options are every 15 minutes, hourly (default), or daily. More frequent syncs keep your imported documents fresher.
Shared Drive access
Enable importing from Shared Drives (formerly Team Drives) in addition to your personal My Drive. This requires that your Google Workspace organization has Shared Drives enabled.
File selection
Add or remove individual files and folders from the import at any time. You can also toggle whether files shared with you by teammates should be included.
Notification preferences
Configure whether Vantage sends notifications when a sync completes, when import errors occur, or when Google Workspace files referenced in your decisions are updated.
Troubleshooting
Most connections complete without issues. If you run into a problem, check these common scenarios before reaching out to support.
Organization-level permissions blocking the connection
If your Google Workspace organization restricts third-party app access, you may see a "This app is blocked" or "Access denied" message during the OAuth flow. This means your Google Workspace administrator needs to approve Vantage in the Google Admin Console under Security > API Controls > App Access Control. Ask your IT team to add Vantage to the list of trusted applications. Once approved, retry the connection flow.
Shared Drive files not appearing
By default, Vantage only imports files from your personal My Drive. To include files from Shared Drives (formerly Team Drives), go to Settings > Integrations > Google Workspace in Vantage and enable the Shared Drive access toggle. You also need at least Viewer access to the Shared Drive in Google Workspace. If the Shared Drive still does not appear, check with your Google Workspace admin to confirm that Shared Drives are enabled for your organization.
File format not supported
Vantage imports Google Docs, Google Sheets, and Google Slides. Other file types stored in Google Drive, such as PDFs, images, Word documents, or Excel files, are not imported. If you need to bring a PDF or Word document into Vantage, convert it to a Google Doc first using Google Drive's built-in conversion feature (right-click the file > Open with > Google Docs). The converted file will then be importable on the next sync.
OAuth popup is blocked
Your browser is blocking the Google authorization popup. Allow popups for app.vantageos.tech in your browser settings, then click Connect again. In Chrome, look for the blocked-popup icon in the address bar. In Safari, go to Preferences > Websites > Pop-up Windows and set app.vantageos.tech to Allow.
