How to Run Quarterly Planning in Notion (Step-by-Step)

Notion supports quarterly planning with the right databases and views. This guide shows how to set up OKRs, capacity planning, and stakeholder alignment in Notion.

Use Notion databases for structured quarterly planning without adopting a dedicated OKR tool.

Step-by-step guide

Step 1: Create an OKR database

Properties: Objective, Quarter, Owner, Key Results (relation), Status (On Track/At Risk/Off Track), and Progress (formula based on key result completion).

Step 2: Create a Key Results database

Properties: KR Title, Objective (relation), Baseline, Target, Current, Progress (formula), Owner, and Status.

Step 3: Set up a quarterly template

Include: Quarter Goal, Objectives and Key Results (embedded database filtered by quarter), Capacity Allocation, Risks, and Key Dates.

Step 4: Run the planning meeting

Share the page before the meeting. During: confirm goal, review OKRs, adjust targets based on capacity, assign owners.

Step 5: Create a weekly check-in view

Board view filtered by current quarter, grouped by Status. Review in weekly leadership meetings.

Common mistakes

Too many objectives

Limit to 3-5 objectives. More means nothing is prioritized.

Non-measurable key results

"Improve onboarding" is not measurable. Use "Increase onboarding completion from 35% to 55%."

Not updating weekly

Update key result progress weekly. At week 4, there is still time to adjust. At week 13, it is too late.

Tips

  • Use rollup properties to calculate objective progress from key results
  • Create a stakeholder view showing only objectives and high-level progress
  • Archive completed quarter pages for historical record
